The Hidden Time Cost Nobody Is Calculating

The visible cost of a paper inspection is obvious — printing, filing, postage. But those are trivial. The real cost is time, and most agencies have never sat down to calculate it honestly.

Consider what actually happens after a paper inspection: notes get typed up (or dictated into a template), photos get downloaded from a phone, sorted, renamed and inserted into a Word document, the document gets formatted, printed, emailed — and then the whole process is repeated with corrections when something is missing.

Calculate Your Real Cost

Here's a simple calculation. Take the number of inspections your agency does per month. Multiply by 2.5 hours. Multiply by your average hourly labour cost (including employer contributions — in Portugal, typically €15–20/hour for an experienced agent). That's your monthly paper inspection cost.

For an agency doing 10 inspections a month at €18/hour, that's €450/month — €5,400 per year — in labour cost alone, just for the admin work that happens after inspections. And this doesn't include the cost of disputes, reprints, storage or the opportunity cost of that time spent not doing revenue-generating work.

The Deposit Dispute Cost

Every deposit dispute your agency gets involved in costs time — and time is money. A typical dispute that goes to mediation involves multiple emails, calls, meetings and potentially legal correspondence. Even if it resolves without escalating, you're looking at 3–6 hours of management time.

Agencies doing 10 inspections a month will typically see 1–2 disputes per quarter. At 4 hours each, that's another €1,000+ per year in hidden costs — and that's just the time, not the reputational damage or potential liability.

Agencies using digital inspection platforms with signed reports and timestamped photos see dramatically fewer disputes — and when they do occur, they resolve faster and almost always in the landlord's favour.

The Reputation Cost

This one is harder to quantify but arguably more important. In a market where landlords choose agencies based on recommendations and perceived professionalism, turning up to an inspection with a clipboard and a Word template sends a message.

Increasingly, the agencies winning the best property mandates in Lisbon, Porto and the Algarve are those that can demonstrate operational professionalism — and a branded digital inspection report, delivered within minutes of the inspection, is one of the most tangible signals of that.
